Notarised translation is the certification by a notary of a translation prepared by a sworn translator. The notary verifies the translator's oath registration, attaches the translation to the source document and adds a certification endorsement.
Notarisation is required for many consular applications, qualification equivalency procedures, court files and applications to official institutions. Notary fees are charged separately by the notary office, apart from the translation fee.
Notarisation may be one of the stages required by the receiving institution. Its requirements concerning language, translation format, number of copies and presentation of the source document should be considered together. A notarised document is not necessarily sufficient on its own for every application in every country.

How is the type of certification determined? Sworn translation and notarised translation are separate procedures, and not every institution accepts both. Tell us which institution will receive your document and we will help clarify the certification it requires.
Translation process
- Reviewing the institution's requirements and source document
Send the institution's checklist specifying notarised translation and the entire file to be translated. The language, procedure, source document format and required number of copies are assessed at the outset.
- Separating translation and notary costs
The translation fee is explained separately in the quotation. The document and fee requirements for notarisation are assessed with the relevant notary procedure in mind. Any requested courier costs are also itemised separately.
- Preparing and reviewing the sworn translation
Names, dates, document numbers, stamps and endorsements are checked against the source document. Information that is missing or illegible is not completed by guesswork; a clearer copy is requested where necessary.
- Planning notarisation and delivery
Document presentation and procedural requirements for notarisation are confirmed with the relevant notary office. The time needed for translation, notarisation and physical delivery is planned together. We do not manage apostille or consular legalisation applications.
What determines the delivery time?
- Translation volume, language pair, attachments and review requirements.
- Whether any original or certified copy required by the notary office is available and the procedural requirements have been met.
- The notary office's opening hours and workload; delivery of a translation and delivery of a notarised copy are separate stages.
- Collection in person or courier delivery, and the application deadline. We confirm a feasible delivery plan after reviewing the document.
How is the price determined?
- The translation fee is assessed according to the amount of text, language pair, specialist subject matter and page-layout requirements.
- Notary fees are separate from translation fees and are confirmed at the relevant notary stage according to the required certification and number of copies.
- Please tell us at the outset if you require additional copies or physical delivery. Courier costs are shown separately.
Quality and review
- The translation is checked against the document's identity details and the spelling of names used in other documents in the application file.
- Source document stamps, signatures, endorsements and attachments are assessed when defining the translation scope; missing pages are checked separately.
- Notarisation and apostilles are not presented as interchangeable procedures. The institution receiving the application determines the required certification chain.
What to prepare for a quotation
- Send all pages of the document together with the institution's current document or translation requirements.
- State the target language, country of use and type of procedure; the country name alone may not be sufficient.
- Describe the format of the document you have so we can clarify in advance whether an original or certified copy is required.
- Share the required number of copies, delivery address or collection preference, and your application deadline.
Frequently asked questions
Are notary fees included in the translation fee?
No. Notary fees are set and charged by the relevant notary office. Translation fees and notary costs are explained separately.
How long does a notarised translation take?
This depends on the length of the document and the notary office's workload. We confirm a definite delivery date after reviewing the document.
Do I need to bring the original document for a notarised translation?
A legible digital copy can be used for the initial review and translation preparation. Whether the notary requires an original or certified copy is confirmed against that office's procedural requirements. Please describe the format of the document you have at the outset.
Does notarisation replace an apostille?
No. They are separate procedures. If your institution also requires an apostille or another form of legalisation, confirm with the institution which document it applies to and in what order. We do not manage those applications.
Is a notary required if the receiving institution only asks for a sworn translation?
The institution receiving the application determines the certification requirements. Sharing its written request helps us clarify the translation scope and required certification. The same certification chain is not automatically recommended for every document.
Do I pay a single amount for translation and notarisation?
Translation fees, notary fees and any courier costs are explained as separate items. The scope is assessed after reviewing the complete file and required number of copies; a fixed total price is not given before reviewing the document.
