Medical board report translation

A medical board report is issued by a hospital's health board with the participation of several physicians and provides a comprehensive assessment of a person's health. Its translation is required for overseas job applications, long-term residence, disability rights, disability pension files and certain types of visas.

The decision section — statements of ability to work, fitness and percentages — is the most sensitive part of the translation; it is rendered using medical and administrative wording in the target language without interpretation. Diagnostic codes (ICD) are an international standard and are preserved unchanged; board members' titles and signature blocks are translated in full.

Which institutions request this document?

  • Foreign employers and immigration authorities
  • Overseas social security institutions — in incapacity and disability files
  • Insurance companies
  • Foreign healthcare providers — in transfer-of-care files

Certification requirements

Is notarisation required?

Notarized translations are common in official files; a sworn translation is usually sufficient for employer files.

Is an apostille required?

It may be required for public hospital reports used abroad; as medical documents may need Provincial Health Directorate certification before an apostille, the chain should be planned from the outset.

There is no universal rule. The institution requesting the document determines its certification requirements. The information above describes common practice. Tell us which institution you are applying to and we will help clarify the required certification.

Preparing your document

  • Send all pages of the report, including the decision and signature sections
  • Check the requesting institution's timing requirement (recent issue)
  • If supplementary test reports are also in the file, send them together to establish consistent terminology

Frequently asked questions

What is the difference between a medical board report and a single-physician report?

A medical board report is a joint decision by several physicians and is required for comprehensive assessments; a single-physician report is a status report issued by one physician. The requesting institution's list determines which is needed.

How are statements of disability percentage translated?

The percentage figure is preserved unchanged; the statement is rendered using established wording in the destination country's administrative language. If the institution uses its own form terminology (for example, social security forms), that terminology governs.
