Civil registry extract translation

A civil registry extract is a document showing a person's entries in the civil registry and family relationships. It is among the documents most frequently requiring translation for overseas procedures, appearing in almost all citizenship, marriage, inheritance and retirement files.

In addition to registration details, the translation reproduces technical fields such as the register, volume and family sequence number in full. Overseas institutions use these fields to verify the record, so omitting them may cause the document to be returned.

Which institutions request this document?

  • Consulates and embassies — for visa and citizenship applications
  • Foreign civil registry authorities — for marriage and birth registration
  • Social security institutions — for overseas retirement procedures
  • Courts — for inheritance and parentage cases

Certification requirements

Is notarisation required?

Notarized translations are required for most overseas applications. Some institutions in Türkiye may consider a sworn translator's stamp sufficient.

Is an apostille required?

As a civil registry extract is an administrative document, its apostille is obtained from the provincial or district governor's office. Consular legalization applies for countries that are not parties to the Hague Convention.

There is no universal rule. The institution requesting the document determines its certification requirements. The information above describes common practice. Tell us which institution you are applying to and we will help clarify the required certification.

Preparing your document

  • You can obtain the document through e-Devlet or the civil registry office
  • Confirm the type of extract required with the institution — different versions include fully dated records and records containing family information
  • Institutions generally require the document to have been issued within the past three or six months
  • Also provide your passport's identity page; the spelling of your name and surname is based on this

Frequently asked questions

Is a barcoded civil registry extract obtained through e-Devlet accepted?

It is accepted for many procedures. However, where notarization is required, a document bearing an original handwritten signature from the civil registry office may be requested; it is advisable to confirm this with the institution before applying.

Is the religion field included in the translation?

If it appears in the document, it also appears in the translation; the translation reproduces the source document as it is. Religious information is sensitive personal data and is processed by us solely for translation purposes.

For how many months is the document valid?

There is no general validity period for the document itself; the requesting institution sets the period. Common practice is to require it to have been issued within the past three or six months.
