Family record book translation

A family record book is a document showing marriage and children’s information together. It is sometimes considered insufficient on its own for overseas procedures; institutions generally prefer registration extracts issued by the civil registry office.

In its translation, the marriage date, spouse information and children's entries are reproduced in page order. Blank fields are also noted in the translation; otherwise, it may appear that the document contains incomplete information.

Which institutions request this document?

  • Consulates — for family reunification applications
  • Immigration authorities — for family-based residence files
  • Schools — for sibling enrollment and requests for family information

Certification requirements

Is notarisation required?

Notarization is required for family reunification files.

Is an apostille required?

If needed, the apostille is obtained from the provincial or district governor's office. As some institutions request a civil registry extract instead of a family record book, we recommend first clarifying which document is required.

There is no universal rule. The institution requesting the document determines its certification requirements. The information above describes common practice. Tell us which institution you are applying to and we will help clarify the required certification.

Preparing your document

  • Send photographs of every page containing information
  • Ask beforehand whether the institution requires a family record book or a civil registry extract
  • If children's information is included, also provide their passport spellings

Frequently asked questions

Should I submit a civil registry extract instead of a family record book?

Many foreign institutions prefer a civil registry extract because it is current. An International Family Record Book is also accepted for some procedures; checking the institution's document list prevents unnecessary expense.

Are blank pages also translated?

Pages containing no information are not translated, but the translation notes that the relevant fields are blank.
